COMPLAINTS PROCEDURE

How to raise a concern about Reform UK's processing of your personal data, and how we will investigate and resolve it.

1. Purpose

Reform UK Party Ltd is committed to protecting personal data and handling data protection concerns fairly, transparently and without undue delay.

This procedure explains how individuals may raise concerns about the Party's processing of personal data and how those concerns will be investigated and resolved.

This procedure has been adopted in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Data (Use and Access) Act 2025.

2. Scope

This procedure applies only to complaints concerning the processing of personal data by Reform UK Party Ltd.

Examples include:

  • Subject Access Requests
  • Identity verification
  • Accuracy of personal data
  • Erasure requests
  • Restriction of processing
  • Objections to processing
  • Political campaigning and direct marketing
  • Data security concerns
  • Alleged personal data breaches
  • Use or disclosure of personal data
  • Exercise of any UK GDPR right

This procedure does not apply to:

  • General political correspondence
  • Complaints about Party policy
  • Membership disputes (unless involving personal data)
  • Candidate selection decisions
  • Elected representatives acting independently of Reform UK Party Ltd
  • Matters outside the Party's responsibilities as a Data Controller

Such matters will be directed to the appropriate team where applicable.

3. How to Make a Complaint

Complaints should be submitted to:

Where possible, complainants should provide:

  • Full name
  • Contact details
  • Details of the concern
  • Relevant dates
  • Copies of supporting documentation (if available)

Providing supporting information helps us investigate the matter efficiently.

4. Our Complaints Process

Upon receipt of a complaint, Reform UK will:

  • Record the complaint within its compliance management system.
  • Assess whether the matter falls within the scope of this procedure.
  • Request further information where reasonably necessary.
  • Investigate the issues raised.
  • Consider relevant legal obligations and internal policies.
  • Respond to the complainant without undue delay.

Where appropriate, corrective action will be taken to improve compliance and prevent similar issues from recurring.

5. Acknowledgement

We aim to acknowledge data protection complaints within 30 calendar days of receipt.

Acknowledgement does not necessarily indicate that the complaint has been upheld.

6. Investigation

Investigations may include:

  • Reviewing relevant systems and records
  • Speaking with relevant staff or volunteers
  • Reviewing processor activity
  • Considering applicable legislation and regulatory guidance
  • Assessing whether any remedial action is appropriate

Each complaint will be assessed on its individual circumstances.

7. Outcomes

Following investigation, we will explain:

  • Our findings;
  • Any action taken;
  • Any action proposed; or
  • Why we believe our processing complies with applicable law.

Where appropriate, we may:

  • Correct inaccurate information;
  • Restrict or cease processing;
  • Improve internal procedures;
  • Provide additional explanation;
  • Offer an apology where appropriate.

8. Complaints Register

Reform UK maintains a confidential register of data protection complaints.

The register supports:

  • Compliance monitoring;
  • Trend analysis;
  • Staff learning;
  • Governance reporting; and
  • Continuous improvement.

9. Information Commissioner's Office

If you remain dissatisfied after our response, you may complain to the Information Commissioner's Office (ICO).

Nothing within this procedure affects your statutory rights.

10. Review

This procedure will be reviewed annually or sooner where required by changes in legislation, regulatory guidance or Party operations.
